Coordinating Kitchen Exhaust Maintenance Across Restaurant Sites

For a restaurant group, consistency means knowing what each location needs and being able to find its service history. A common process helps, but different kitchens should not automatically receive identical schedules.

Build a register for each kitchen

Record the canopy, filters, duct route, fan, access points and any electrostatic grease-capture unit. Keep site contacts, operating hours and restrictions alongside that information so a booking does not rely on one person’s memory.

Use consistent scope descriptions

Compare quotations and reports using the same component names. Filters, plenum, ductwork and fans should be distinguishable. Access limitations need to stay visible until the next action is agreed.

Set maintenance around actual use

AS 1851 provides the relevant routine-service framework for kitchen exhaust maintenance. The applicable requirements, inspection findings, cooking load and any insurer or building-specific conditions should inform the service plan. Do not assume one annual booking is suitable for every kitchen. A higher-volume site may need different inspection and cleaning arrangements from a lightly used kitchen.

Coordinate filter exchange separately

A filter exchange program can sit alongside full-system kitchen exhaust cleaning. Treat the two as related but separate tasks in the site register.

Make records easy to retrieve

Keep the agreed scope, service date, before-and-after photographs, PDF report, inaccessible sections and recommended follow-up together. A service report documents the work completed; the insurer, auditor or relevant authority determines whether it meets their requirements. Every location’s relevant staff should know how to access the records and who follows up outstanding recommendations.

Review changes after fit-outs

New equipment, altered ductwork, changed hours or recurring deposits can warrant a fresh scope review. Resolve access gaps and update the records when the system changes.

Arrange a commercial service

Clean Air Filtration provides commercial kitchen exhaust cleaning in Melbourne and Victoria. Tell us your site location, system details, access restrictions and operating hours so we can discuss the cleaning scope. Call (03) 9303 9661 or email sales@cleanair.com.au.

Every client receives a client portal, including one-off services. Completed-service PDF reports and job photos are available there. See our service records guide for what to keep with your maintenance history.
