Terms and Conditions

These service terms relate to Clean Air Filtration (ABN 37 072 641 920). They apply where provided or clearly referenced before you accept our quotation or booking. An enquiry alone does not constitute acceptance of a service contract. Any specifically agreed written quotation or service agreement should be read with these terms. These updates do not retrospectively change an existing contract.
1. Your rights under Australian law
Nothing in these terms excludes, restricts or modifies any guarantee, right or remedy under the Australian Consumer Law or another law that cannot lawfully be excluded. Where applicable, services must be supplied with due care and skill, be fit for an agreed purpose and be supplied within a reasonable time if no time is agreed. These protections can apply to business customers as well as individuals.
2. Quotes, scope and variations
Our quote sets out the proposed services, scope and price. Unless the quote states otherwise, quoted prices are valid for one year. After expiry, we will provide any revised price for your agreement before proceeding; prices will not be increased retrospectively.
The quote is based on the initial inspection and available information. Additional work needed beyond the agreed scope, including work required to address compliance issues, will be quoted separately and requires your agreement before proceeding. Induction costs must be disclosed and agreed before being charged.
3. Bookings, access and call-out charges
Please ensure staff on duty know about the booking and that agreed access is available. If premises are closed, our team is turned away or work cannot safely proceed because the agreed site preparation has not been completed, a reasonable call-out charge may apply where disclosed and agreed before booking.
For surfaces that are too hot to work on, the existing minimum call-out charge is $360 plus GST ($396 including GST), where agreed in advance. We will explain the reason for any charge. No call-out charge applies for a failure caused by us.
If either party needs to reschedule, please contact the other promptly to agree a suitable arrangement. Any cancellation charge must be disclosed and agreed beforehand and be reasonable in the circumstances.
4. Preparing the site safely
Burners and pilot lights should be turned off sufficiently early for safe working temperatures; we recommend at least two hours before arrival, subject to equipment instructions. Clear cooktops and benches, remove obstacles and protect items that cannot be moved. Deep kitchen cleaning also requires clear access to the agreed areas.
Where an automatic fire-suppression system requires isolation, arrange this through an appropriately qualified person and coordinate safe reinstatement. Do not disable safety equipment without authorised procedures.
Where work requires tested roof or duct-riser anchor points, you must arrange appropriate certification before that work starts. We may suggest an independent provider, but any engagement with that provider is separate. We will not proceed with unsafe or uncertified access.
5. Cleaning outcomes and existing condition
We use reasonable care to protect surrounding surfaces and clean up residues arising from the work. Heavy grease, age, corrosion or severe blackening may limit the finish achievable; a bare-metal appearance cannot always be obtained. This does not excuse a failure to exercise due care and skill.
Cleaning is limited to agreed areas with safe, available access. We will report access limitations and relevant findings. Mechanical or electrical repairs are not included unless expressly agreed and carried out by appropriately qualified personnel; observed issues will be reported to you.
6. Reports and compliance documentation
Any report or certificate describes the work completed, inspected areas and recorded limitations. A certificate for a full kitchen-exhaust-system clean cannot be issued unless the agreed canopy, internal and external ductwork and fans have been cleaned and the relevant requirements have been met.
Where further work is required, it will be identified and quoted separately. A cleaning report does not certify uninspected areas or replace required mechanical, electrical, fire-safety or building inspections.
7. Payment and overdue accounts
Unless otherwise agreed in writing, payment terms are 30 days from the end of the month in which the invoice is issued. Any applicable GST is identified in the quotation or invoice.
Contact us promptly about an invoice dispute. Before referring an overdue account for debt recovery, we will provide notice and an opportunity to resolve it. Only reasonable recovery costs actually incurred may be sought where permitted by law and an enforceable agreement; this is not an entitlement to unrestricted or automatic charges.
8. Concerns, complaints and remedies
Please report service concerns as soon as practicable, ideally within three days, to [email protected] or [email protected]. Photographs are helpful but are not a condition of making a complaint.
The three-day period is a request for prompt notification, not a deadline that removes your rights or our responsibility. We will investigate and discuss an appropriate remedy, including any remedy required by law. You do not lose statutory rights because a concern is raised later.
9. Website information and privacy
Website information is general and does not replace a site-specific quote, assessment or professional advice. Please use the website lawfully and do not submit information you are not authorised to share. Personal information is handled as described in our Privacy Policy.
10. Changes, disputes and contact
Changes to an agreed service contract require agreement; updating this webpage does not unilaterally vary it. We encourage both parties to try to resolve disputes in good faith. This does not prevent either party from seeking urgent relief or using a regulator, tribunal or court with jurisdiction.
Victorian law applies, subject to any mandatory law and rights to bring proceedings elsewhere. If a provision is unenforceable, the remaining provisions continue to the extent permitted by law.
